W-EBTM 2011 General Information

Hello Everyone,

Today I have gathered the most necessary information about the arrangements needed for the Winter meeting in Kalkar (DE)/Nijmegen (NL)/Arnhem (NL).
As I told before we will all stay in the same hotel, at wunderland kalkar, Germany. Here is a list of the approximate prices:

The prices for the hotel are known:

In case that we do not reach the number of 25 persons:
- 3 Nights, including all meals and drinks (all inclusive): €190,- (of course it's still possible to leave on Sunday)
- Private room (for a planned surprise activity) €2,50.

In Case we will reach the number of 25 persons:
- - 3 Nights, including all meals and drinks (all inclusive): €165,- (of course it's still possible to leave on Sunday)
- Private room (for a planned surprise activity) €2,50.

Additional costs:
- Evening arrangement only: €39,50 (from 18:30 - 2:00)
- Additional nights: €70,- per person, per night

I have also arranged that we can pay the costs for the hotel cash :lol: , so we don't need to pay by bank in advance.

As for the activities, on day 0 (the day of arrival) we will gather at the hotel, if necessary I will pick up people from the airport in Weeze, or from the train station in Kleve/Xanten, with my own car. There are also taxi's available from both facilities. A evening activity will be planned, this will probably be bowling which is included in the hotel price.

On day 1 there is a trip planned to the city of Nijmegen (this is the oldest city in the Netherlands, more than 2000 years old). We will go to Nijmegen by car, there are a couple of EBT users who will drive (the costs for gas/parking wil be shared)
Once we arrive in Nijmegen, there will be a city tour with a guide, and will take about 1/1,5 hour(s). After the city tour we will visit the National bike museum where there is also a lunch arranged. After the lunch we will be hopping on a bike and we visit a bit of the country side around Nijmegen. If the weather does not allow a bike tour, there will be a semi indoor activity, but this will cost about €4,50 more per person. After our afternoon activity we will return to the hotel for diner and most likely the pub afterwards. (also included in the hotel price) Here is a time table for day 1:

8:00 - 8:30/8:45 Breakfast
8:30/8:45 Driving to Nijmegen
9:30 - 10:45/11:15 City tour with guide
11:30 - 13:00 Visit to the national bike museum (with guide)
13:00 - 13:45 Lunch at museum
14:00 - 16:30/17:00 Bike tour through the country side.
18:30 - 20:30 Diner at hotel
20:30 - 22:00 We wil be watching a movie (something the EBT'er will certainly like :D )
22:00 - ........ Free time in the various pubs in the hotel.

On day 2 we will go to the city of Arnhem, to Burgers Zoo. This zoo is quite unique because they also have a lot of indoor facilities like a real life jungle and dessert, we will also have a guided tour here, but there is also plenty of time to discover the zoo on your own. At the evening we will close the official part of the meeting. Here is a timetable for day 2:

8:00 - 8:30/8:45 Breakfast
8:45 - 9:00 Driving to Arnhem
9:30/9:45 Arrival at the zoo, there might be a possibility that Vermeer will meet us here.
11:00 - 12:30 Guided Bush and Ocean tour
12:00 - 17:00 Free time at the zoo, there are also plenty of possibilities for a lunch.
17:00 - 18:30 We will be driving back to the hotel, and there is of course the possibility to visit some ATM's.
18:30 - 20:30 Diner at the hotel.
20:30 - ........... Free time, this wil also be the end of the official part of the meeting.

Here is a list of the prices for the activities:

Day 1 Nijmegen:
€4,35 for a guide (city tour)
€4,50 entrance to the museum, tour included
€9,50 Lunch
€10,65 Bike rental
€2,50 Private room for the movie
------------------------ Total
€29,00

(In case we can not do the bike tour, there will be a different activity outside of Nijmegen and this will cost €15,00 p/p instead of the €10,65 for the bike tour)

Day 2 Arnhem Zoo:
€17,50 Entrance to the zoo
€ 1,00 Guided tour.
------------------------ Total
€ 18,50

A lunch will cost about €5,00/10,00.

The dates are now set for 11th, 12th and 13th of March 2011. Check-in at the hotel is on Friday noon/evening and
check-out is at Monday in the morning.

The area is accessible by air, Weeze airport (mainly ryanair) and Dusseldorf airport are close by.

Does this mean 3 nights or 2. For 2 nights is very expensive. Or arrival on Thursday and then departure on Sunday. We have daily flights from Venice, so no problem about that. For 3 nights the price is OK. If so, what is planned for friday?

It's 3 nights, but we will pay for just 2 nights. (That's the deal :wink: ) Friday is the arrival day, so most people will arrive in the afternoon.
For Friday there is only an evening activity planned (Dinner and getting to know eacht other). There will be extra activities
organized, but this information will follow later.

If arrival is on Friday and departure on Sunday, that 2 nights not 3. Or did i miss something?

Sunday is also included in the meeting days, so departure should be on Monday. Check-in is on Friday-afternoon, and check-out is
on Monday-morning.

If people come from Düsseldorf Airport or generally by train, it is quicker to go to Xanten. DUS-Kleve is 1:44, DUS-Xanten is 1:04.

For train schedules, have a look at the DB travelplanner. Start is "Düsseldorf Flughafen", destination is "Xanten". Also select "only local transport" if you come from the airport, because Intercities will not be faster, only more expensive. Single fare is € 12,70, if you travel with 3-5 people, use the Schöner-Tag-Ticket NRW for € 35.
To get to the Düsseldorf Flughafen station, you will need to use the Skytrain, runs every 3,5-7 minutes and takes 6,5 minutes of travel.

If need be, I am willing to volunteer to play taxi too.

I have updated the prices for the hotel, the exact price is known. However is will still depend on the number of
participants. So I put the prices for both scenarios. The difference is €25,- per person for the whole weekend.

If there are any questions, please don't hesitate to aks them here or by PM.

Is there something I don't understand (wunderland's pages are not in English, thats why I'm asking...) when I tried to make an online reservation for 11.-13.3. it was 165 euros +5€ internet fee. So is there something extra in our package if we're less than 25?
If I join the meeting I have to anyway check out on Sunday, so I won't be using that third, free night.

Oh no, you book a room by PM, trough me. I send all the details to the hotel, as explained in the "I will come" topic.
Only the third night is extra, but when your not using the third night, the price will unfortunately stay the same.
But when you are leaving on Sunday, you don't have to pay the extra €25.

The private transportation will probably be replaced by the cars of different users.
At the moment we are with about 16-18 people, so private transport would be very expensive.
(about €45/50,- p/p for the whole weekend).

With 16-18 people it's much easier to go with our own cars, plus we can also stop at atm's and maybe banks.

Off-Topic. Before coming to Aachen, I was used to call Central Europe the lands between Wien and Praha, then I moved here and I discovered that the Aachener people are used to call this area as "the first center of Europe". Then, if you go to Aosta, you will discover that inhabitants refers to Aosta as "le carrefour d'Europe" ...but the funny thing is that if you take a map and you just try to calculate where the real center is, you discover that it is somewhere between Hungary and Ukraine :lol:
