S-EBTM 2020 VIRTUAL (teleconference) - Detail discussion

Note: S-EBTM means Summer EBT Meeting

The International Virtual Meeting will be a reality, although we still don't know exactly when (last two weekends of August and first one of September are the options. If you haven't vote already, go ahead and do it on the appropriate topic.)

In the meantime, let's use this thread/topic to discuss the details. Place your contributions here, please. And don't be shy. Any help is appreciated, because this will be a little too much for a single person to prepare. :D

Don't worry, I will create a topic for General Information as usual (sometime in June). I opened this one so that anyone can join in and suggest anything from new ideas to organization tweaks.

So here's the program open to your kind contributions:
  1. Short Presentations with an unexpected and engaging question (nothing too personal, of course). To be alternated with other points in the program. I will write a script for this, starting with real life name (optional) and EBT username.
  2. Game: a quiz about Euro banknotes and Europe. I will be glad to create this. I’m thinking of using Google Forms but I’ll be glad if anyone has better suggestions.
  3. Q&A with experts covering several areas. I will invite specialists, hoping they can and are willing to join and answer questions. If you’re a specialist yourself, please apply! The areas I’m thinking of, and which I have knowledge myself in: numbering systems (with giulcenc?), rare and valuable plates (with A0000001A?), games on the forum (with their creators), statistics software (with their developers), public serials and faking (with ErGo?), EBT on the social media (with sen-chuan, bullock99, & stefanlip?), tools for PC and Android (with taucher & spasiba?) — some of you are already being confirmed!
  4. Story time, an open mic with plenty of space for the banknote tracking stories that participants may want to tell.
  5. Video show, with official videos of cash cycle and production of banknotes and paper for banknotes.

Problems to solve:
  • who? I will be the main organizer, but I’m asking for help from other EBTors. Please step forward if you are willing to help with anything, from ideas to organization.
  • what? My tentative program is above. I will love to have suggestions before creating a “General information” forum post.
  • “where”? I suggest a free conference call on Google Meet (on any browser, no membership or extra software needed). I’m quite aware that Zoom and MS Teams are being used worldwide for this purpose but, after trying these, and also Skype and mitsi, I came to the conclusion that Google Meet might work the best for our needs. Please don’t be shy to prove me wrong if you know better.
  • when? I suggest a double virtual meeting, in two 2- to 3-hour sessions in consecutive days at different times, to accommodate for most people’s schedules. Some of the content may be repeated. My suggestion for the start timing is 18h00 UTC+2 on Saturday and 14h30 UTC+2 on Sunday. (Most of the Eurozone is now and will still be in the UTC+2 time zone at the time of the meeting. Portugal is one hour earlier. Finland, Estonia, Latvia, Lithuania, Greece, and Cyprus are one hour later.)

EDIT 2020-06-06: Google Meet

Kahoot - great online quiz form, can be used by many participants, all of them are answering to every question at the same time, the winner is determined by the right answer + the speed of answering. And no additional calculations are needed, the winner is nominated automatically in seconds. Used that couple of times during this 'work from home' period in our company.
And something like Twitch to broadcast that.

Thanks for the contribution, siriusLT!

I've registered and tried to understand how Kahoot! works.

I love the simplicity of both creating a quiz and using it as a player.

I still have some doubts:
  • I believe I'd need to pay 240 USD for the Pro version in order to be able to host a quiz for up to 50 people. I suppose I can use just the Free Trial, upgrading my account the day before the meeting, and cancelling the plan after the meeting is completed. Or maybe I can pay the 240 USD but be refunded of 220 USD if I cancel in less than a month (seems fairer to them, but I don't know if it's possible.)
  • I'm not sure if I can invite players just by sending a link that everybody can use. (I believe you don't have to be registered in order to play, but I'm not sure how you join a quiz, although I suspect it's as easy as clicking on a link.)
  • I don't know if the quiz is publicized on the Kahoot! page, allowing intruders to also join the play. I wouldn't like this to be possible.
  • I don't know what happens after I give the link. If I want the quiz to be timed (and I do), how can I make sure that the game starts only when I say so (that is, when I see that everybody, or almost everybody, is already in)?
  • I didn't quite visualize how it will be for someone, who decides not to play, to watch all other faces not talking, just playing on the screen quiz; or how it will be for someone to bully others who are playing by saying whatever they want.
  • If we have more than 50 players, there will be a problem.
Do you (or anyone) know the answers to these questions off-hand? Otherwise, I still need to study Kahoot! a little more.

I may have to think about a small Meeting entrance fee to pay for things like this. I don't want to win any money but I don't want to lose either…

I don't know who is planned for the different Q&A panels, but I think a presentation by aloxe would be interesting.
His tool http://ebt.fr.eu.org is pretty cool

Thanks for the reminder, trezay! Yes, aloxe's tool is amazing! Aloxe, I hope you'd like to talk about it. If so, I will include you in the expert panel.

And thanks for the hint, aloxe! I've just tried jitsi and it seems pretty easy to use. I also tested Skype teleconference on the Web and it seems to be complicated. The only problem I got was that the person I tested jitsi with heard my voice but I wasn't hearing theirs. Looking forward o more testing.

Not sure "expert" is the word for such a presentation but I am ready to present this tool and answer questions if they are. Although I am available at all three dates this may change so I can't promiss can make it yet.

Right, it was a premium account our company has used so that over a couple of hundreds of users could participate - i've totally forgotten that...

Hello
during this virtual meeting could take place a virtual visit of some places in Luxembourg.
A Game like where is it as live virtual tour may be interesting for everyone.

What is required to join the meeting? I have no webcam or headset so I suppose my interactions would be very limited. Does Google have a chat function?

I would suggest trying out the method of teleconferencing well in advance of the meeting. E.g. make a public test at least a week in advance.

Whatever teleconference software we'll be using will have a chat feature.

I have been trying Google Meet, and lately I'm having problems. I'm considering other options, including Zoom, again. A public test here is a good idea. I'll add that to the list of things to be done, thanks.
